About the Calibration Master List and Due Date Tracker
ISO 9001 clause 7.1.5 requires an organisation to keep measuring equipment calibrated at specified intervals and to identify its status. The calibration master list (instrument register) is the simplest way to show that control: every instrument, its interval, when it was last calibrated and when it is due next.
How to fill in this template
- List every instrument that affects product quality, safety or custody transfer, one per row.
- Enter the calibration interval in months and the date of the last calibration.
- The next due date, days left and status update automatically each time the file is opened (they use today's date).
- Set the warning period at the top (30 days by default) so items show DUE SOON in time to plan.
- Filter the Status column for OVERDUE and DUE SOON to plan the month's calibration work.
What the formulas do
- Next due = last calibrated date + interval months (EDATE).
- Days left = next due − today.
- Status: OVERDUE below 0 days, DUE SOON within the warning period, otherwise OK.

Frequently Asked Questions
What is a calibration master list?
A register of all measuring instruments that need calibration, with their identification, interval, last and next calibration dates and status.
How do I decide the calibration interval?
Start from the manufacturer recommendation and the criticality, then adjust using as found history: extend if instruments are always in tolerance, shorten if they drift.
Why does the status change by itself?
Days left is calculated from today's date each time the workbook recalculates, so the status is always current.
